It works some of the time, it eats staff hours, and it fails whenever the cancellation lands outside desk hours. Automating that loop costs money every month, so the question is whether the extra filled spots and recovered staff time are worth more than the subscription.

This calculator takes the open spots you see per week, the share you refill manually today, and the share you expect automated SMS offers to fill. The difference, valued at your per-spot figure, is the extra monthly revenue. It then adds the staff cost you expect to save and subtracts the software cost to give a net monthly gain and an ROI percentage. The automated refill rate is your assumption, not a promise, so test a conservative number as well as an optimistic one.

What the math assumes

  • A month is treated as 52 weeks divided by 12, so weekly spot counts are multiplied by about 4.33.
  • Extra spots filled equals your weekly open spots times the difference between the automated refill rate and today's refill rate; both rates are your inputs, not benchmarks.
  • Each extra filled spot is worth the per-spot value you enter, with no allowance for members who would have booked another class anyway.
  • Staff savings are whatever you enter; the tool does not estimate front desk hours for you.
  • ROI is net monthly gain divided by monthly software cost, and it can be negative if the refill improvement does not cover the subscription.

What refill rate should I assume for automated SMS offers?

There is no universal number. It depends on how deep your waitlists are, how much notice cancellations give, and how quickly your members respond to texts. Run the calculator with a cautious figure and an optimistic one to see the range.

How do I estimate the staff cost saved?

Ask the front desk how many hours a week go into calling and texting waitlisted members, multiply by their hourly cost, multiply by 4.33 for a month, then take the share of that work you expect automation to remove.

Why can the ROI come out negative?

If the extra spots filled plus staff savings add up to less than the monthly software cost, automation would cost more than it recovers. That usually happens with very few weekly cancellations or a small gap between manual and automated refill rates.

Does the calculator include retention or goodwill benefits?

No. It only counts filled spots and staff time. Members who stay longer because they get into classes they wanted are a real benefit but are too uncertain to put a number on here.
